Staffing firm finds success with “new hire” Weaver for audit, tax services
As provider of professional staffing services—including recruiting and placement of both temporary and full-time employees—InStaff (www.instaff.com) is the fourth largest such firm in the Dallas-Ft. Worth area.
With the departure of the company’s previous CEO, the company also decided to change tax, audit and consulting service providers, recalls Beth Garvey, who ascended to the CEO position in November 2009.
“Upon the recommendation of our private equity firm, we interviewed three prospective accounting firms,” she says. “When we sat down and chatted with each of the companies, Weaver was the only one that took the time not only to explain what their firm was about, but to also ask us about our business. That really set them apart.”
After a single year of working with Weaver’s tax and audit teams, Garvey and Candiece (Candy) Arrington, InStaff’s Controller, have been repeatedly impressed with the level of service they’ve received.
“In addition to being very approachable and very easy to work with, everyone on Weaver’s team has really taken the time to understand the ins and outs of our business, and to clarify any areas that they weren’t familiar with,” says Garvey.
“They helped us get through the audit process very quickly, and at the same time they’ve been very understanding about some of the unique issues related to our industry,” Arrington adds. “For example, in the audit we conduct transaction testing related to our employee searches, but that process can’t be accomplished during the two weeks they’re here on site. So, by preparing requirement lists for us to use in doing the research and pulling the information from our field branches, Weaver gives us plenty of time beforehand.”
Further, continues Arrington, Weaver is available as a resource throughout the year for assistance with technical issues to ensure they are properly resolved.
“A big issue that we’ve had with past audit firms has been their lack of understanding of how our worker’s comp policies work—because we deal with sheer volume on these claims,” she continues, noting that Weaver’s experience with clients in the staffing industry has proved to be a bonus for InStaff.
Further, to better serve clients whose operations extend beyond Texas’ borders, InStaff has expanded its operations into three additional states. With those expansions, questions occasionally arise regarding different state requirements for taxes and how they should be handled from a staffing services standpoint.
“The fact that Weaver has a tax-based knowledge of all states was very important to us,” explains Arrington. “We’ve learned in the past that when it comes to going into a new state, we want to touch base with our audit firm first to ask what issues we should be aware of before we pursue that expansion.”
At the conclusion of the audit, both Garvey and Arrington were pleased to participate in a post-audit meeting with engagement partner Carter Rouse, CPA and audit manager Adam McCane, CPA, both in Weaver’s Assurance Services. During the meeting, Rouse and McCane provided strategic insights and suggestions both for InStaff’s business, and for how the audit process could be improved.
“We exchanged feedback and ideas of things both sides could do to make the process easier going forward,” Garvey says. “I will honestly say that going into this next audit year we will probably be the best prepared that we’ve ever been—I think that we’ll have a very smooth audit this year.
“They’ve just been a joy to work with,” concludes Arrington.
